We are seeking an Sales Coordinator for our Maui, Hi location.
Quote Tracking: Enter quotes daily into Smartsheet to track status of quotes and to make sure the quote log is current and up to date.
GOAL: To ensure quotes are followed up timely and to keep all data available for tracking and reports.
Quote Follow-up: Following up by phone or email on quotes that have been sent to customers. These will be mostly smaller quotes and smaller accounts that may not be covered by the Sales Reps because of the volume of quotes.
GOAL: To ensure more thorough and complete follow up to quotes and to free up the Sales Reps time to focus on larger quotes and larger customers.
Quotes: Provide quotes as needed to customers and Sales Reps when the rate department is behind and quotes are delayed.
GOAL: To ensure customers receive quotes timely.
Smartsheet: To maintain various smartsheet reports and files. These Sheets include but are not limited to:
a) Target Reports.
b) Competitor Information.
c) Goal tracking (Ralph Tracking).
d) Quote Follow Up.
e) Customers Quote Conversion Rates.
f) Too High Log.
g) GAP reports.
h) New / Lost Business Report.
GOAL: To ensure all tracking and reporting are up to date at all times.
Manage “C” Accounts: Servicing smaller accounts that Sales Reps may not have time to service. This includes all aspects of account maintenance including leads and CRM notes.
Costings: Create and maintain costings as needed, this includes knowledge in tariffs.
Coding : Code new/uncoded Domestic and International accounts to Reps, by territory from monthly Unassigned New Business reports in both Wheels and CRM.
Vitals: To receive, edit, convert and distribute vitals in time for GAP meetings.
Top 50 Accounts: To receive, edit, convert and distribute top accounts in time for GAP meetings.
Claims: Schedule inspections as well as create and maintain vouchers.
Leads: Assign leads entered in CRM to Reps by territory. Log all leads submitted by/assigned to Sales Reps in Drive. May also include lead follow up when needed, lead creation and Pre-qualify leads.
Proposals: Type up proposals using information provided by Reps and file all proposals both electronic and hard copies.
SBI: Submit SBI forms to the Sales Manager for review and approval and to confirm these submitted rates are entered into wheels correctly.
Customer Maintenance: Upon request submit CM Forms and confirm these are entered into wheels properly.
Revenue Analysis: Distribute revenue analysis daily based on territory.
Sales Notes: Distribute completed weekly sales notes to the Sales Manager every Monday.
A) Assist with tracking shipments, ETA’s, RUSH! shipments, etc.
B) Assist with investigating customer issues – how/where/why was a mistake
made, how to prevent it from happening again. When issues do occur, log them
in the CIO Log.
C) Assist reps while they’re on the road with any information requested by
investigating in Wheels, CRM, Google Drive, FileMaker, etc.
E) Send Credit Applications to new customers, forward completed apps to Credit
F) Assist reps with Wheels training.
G) Assist with keeping Reps up to date on current rates.
H) Provide general Customer Service.
I) Update customer information as needed.
Salary is based on qualifications.
